Document Control Clerk

Reporting to the Engineering Lead as part of the Engineering and Reliability department at Braya Renewable Fuels, the Document Control Clerk plays a vital role in ensuring that our company’s documentation is well-organized, accurate, secure, and accessible for use when needed.

Duties & Responsibilities

  • Consolidation of files – Transfer and/or renaming of files currently saved in various locations.
  • Receive drawings/documents, internally and externally and record and upload to the Braya document control system.
  • Manage documents – Organize and maintain documents, as per Braya policies and procedures.
  • Logging of documents – Record incoming and outgoing documents for traceability and auditing purposes.
  • Track status of documents, including revisions, monitor document workflow to ensure they are completed within the required deadlines.
  • Issue Drawing / document numbers are per Braya’s guidelines.
  • Document Distribution – Distribute documents to relevant departments or individuals as required, ensuring controlled copies of documents are circulated and revised documents are uploaded and superseded versions are archived
  • Implementing and enforcing document control procedures and processes to ensure compliance with company standards.
  • Liaising with various departments to ensure necessary documentation is readily available, coordinating with the project teams to manage project-related documents, including engineering drawings, contracts, and project plans, communicating with external stakeholders, such as clients and contractors, to provide necessary documentation and updates.
  • Implementing and enforcing security measures to protect sensitive or confidential documents. Monitor access to documents, ensuring only authorized personnel can view or modify them.
  • Any other duties as requested by supervisor
  • Use of Maximo

Qualifications

  • Successful completion of post-secondary diploma in Records and Information Management, Equivalent combination of education and work experience may be considered.
  • Basic understanding of engineering drawings and P&ID’s is an asset.
  • Computer experience with File Explorer, Adobe, MS office suite.
  • Excellent written and oral communication skills.
  • Excellent organizational and priority management skills.
  • Excellent multitasking skills.
