About the Opportunity
Methanex is currently seeking a full-time Administrative Assistant to join the team in Medicine Hat, AB.
The Responsible Care Administrative Assistant will support the RC Manager and department personnel, handling multiple priorities with exceptional business acumen, communication, computer, planning, and organizational skills. This role involves administrative support for RC processes, including managing the RC training matrix and Active Learner database, serving as site document controller, tracking monthly RC KPIs, coordinating RC quarterly reporting, administering onsite chemical approvals, and providing process-related training.
More specifically, your responsibilities will include:
- Provides comprehensive administrative support to the RC Manager, including scheduling, coordinating travel, and managing office supplies
- Oversees inventory management of personal protective equipment (PPE) and ensures laundry services and replenishments
- Manages work orders and purchase orders via Maximo, gathers documents for meetings, and supports front desk operations
- Coordinates health-related appointments, training, and team-building sessions, and assists with security systems and access cards
- Manages SharePoint and OneDrive sites, updating documents and ensuring up-to-date information for the Emergency Operations Centre
- Plans and manages logistics for visitors, audits, and site events, coordinating travel, catering, and meeting setups
- Tracks employee timesheets, system access, and site security, and assists with contractor onboarding
- Collects and inputs KPI data for reporting, maintains databases for safety training, and ensures compliance with document control standards
- Provides support for safety orientation, document editing, and controlled document management, ensuring adherence to global standards
- Actively participates in site committees, contributes to safety and housekeeping initiatives, and upholds company values of integrity, trust, and professionalism
About You
In order to qualify for this role, you will need 2 years of administrative experience, and advanced proficiency in Microsoft Office Suite. A post-secondary diploma in office administration or a related program is preferred, and previous experience in an industrial setting is an asset.
As an ideal candidate, you excel in communication and interpersonal skills, enabling you to build strong relationships with stakeholders. You bring expertise in developing Excel spreadsheets for tracking and analyzing site data, and your conflict resolution skills support effective collaboration. Your strong organizational abilities and attention to detail help you manage competing priorities while maintaining confidentiality and sound judgment in decision-making.
