Responsibilities

What you will be doing…

Reporting to the Research Scientist at Annapolis Valley Campus’s (AVC) Centre of Geographic Sciences (COGS) location, you will provide a full range of administrative support services with an emphasis on providing superior customer service. This includes:

  • Tracking research grant application opportunities and deadlines.
  • Tracking and assisting with research grants and other project reporting requirements.
  • Assisting with the preparation and review of research project proposals including interaction with partners and their required input, defining and reviewing the budget, tracking and submission of the material for review for the research office.
  • Assist in the preparation and editing of research agreements with partner organizations (industry, government and academia) and tracking the signature processes to allow projects to be initiated.
  • Assist in the procurement process of research equipment including obtaining and tracking quotes, assisting with FEMP forms, alternative procurement, and tracking the process, including delivery and inventory.
  • Assist with the research inventory including reporting of items to be written off or other issues.
  • Assist with updating and populating the AGRG NSCC website to include up to date information, including past reports and other relevant information, will work through NSCC web development team.
  • Assisting with tracking research project budgets to ensure project requirements are met during the timeframe and expenditures outlined in research agreements.
  • Assisting with tracking external relationships including research conference scheduling, presentations, media appearances, etc.

Qualifications

Qualifications and Occupational Experience:

  • The minimum educational qualification for this position is a post-secondary certificate or diploma in Business or Office Administration combined with a minimum of two years’ recent and related experience in a fast-paced office environment. Or you have the recognized equivalency of a high school diploma with significant (10) years of administrative experience.
  • You are familiar with and comfortable using computer applications such as Microsoft Office Suite, e-mail, large Enterprise Resource Planning (ERP) systems such as PeopleSoft, Oracle, SAP, etc. would be considered an asset.
  • You are comfortable working in a digital environment; you take responsibility for acquiring knowledge about advancing technology; and you are committed to using technology in advancing your work
  • Experience working with Accounts Receivables and student / customer account reconciliation would be considered an asset.
  • Experience supporting/providing service to students and prospective students would be considered an asset.

  • You have demonstrated background work in environments where confidentiality and sensitivity to client needs has been a focus.
