NRI is looking for a Rental Coordinator who is ready for a challenging and rewarding experience. The successful applicant will assist in ensuring the success of the Superior propane Centre, Crossman Community Centre/ Kay Arena, City of Moncton. We are searching for a motivated team member with a recreation/scheduling background and experience in financial & administration. The Rental Coordinator is responsible for assisting in scheduling, programming, and administrative support. This includes booking users and customers in a variety of facilities, coordinating/communicating office activities, reception duties, and general troubleshooting. Integrity and strong attention to detail are crucial for this role.

This individual should be experienced in communication with multiple stakeholders, enthusiastic and able to represent NRI with professionalism and a community-minded focus. The successful applicant will report to the Assistant General Manager/Programming Manager of the Superior Propane Centre.

MAJOR RESPONSIBILITIES:

  • Assist in the Managing and the Programming aspects of the facility under a Community Access Plan (CAP) developed in conjunction with City of Moncton.
  • Ensuring that the Nustadia Recreation Best Practises related to the position are followed.
  • Booking and scheduling of the Superior propane Centre, Moncton Coliseum, Crossman Community Centre/ Kay Arena ice surfaces and collecting the revenues.
  • Booking and scheduling of City of Moncton Fields, Park & Green spaces and collecting the revenues.
  • Providing excellent customer service while liaising with customers; minor and adult hockey leagues, figure skating clubs, hockey and skating schools, individual renters & Field users.
  • Customer relationship management with all users. You are the front-line staff and as such are the face of the facility.
  • Daily creation of key sign out sheets / TV Screens w/ dressing room assignments, and all other required documents.
  • Ensure all staff are up to date with the most current ice & room schedule daily.
  • Answer/manage inbound telephone inquiries and return voice mails.
  • Assists & engages in regular meetings for communication for field staff & foreman
  • Receive payments from user groups and individuals for ice, facility rentals & Fields.
  • Co-ordinate all administrative duties required to run the office effectively including reception, filing, typing, ordering supplies, etc.
  • Bookkeeping duties including invoicing, bank deposits, accounts payable and receivables and coordinating with administration staff on these items.
  • Reconcile account balances for the purpose of maintaining accurate account balances.
  • Record ActiveNet GL distribution Reports
  • Responsible for assisting in AR Collection (invoices, resolve issues, collect monies and record receipts)

MINIMUM QUALIFICATIONS:

  • Post-secondary education in Recreation/Business Administration, or equivalent education and experience
  • Thorough working knowledge of municipal recreation/leisure activities and practices.
  • Understanding of the recreation/facility/events scheduling process.
  • Strong organizational skills & time management skills
  • Effective communication skills with staff, the general public and others as required.
  • Demonstrated self-motivation and initiative is critical.
  • Ability to operate within a “team” environment.
  • Proficiency with related computer software programs (Accounting, Windows operating system) a definite asset.
  • Able to maintain filing systems.
  • Superior telephone manners and strong interpersonal skills.

You also have a sound understanding of:

  • the community’s sports interests, requirements and resources
  • experience with event management.
  • First Aid, CPR, AED, criminal record check

TECHNICAL KNOWLEDGE/EXPERIENCE

  • Three to five years’ experience
  • Accounting Background would be an asset.
  • Knowledge of Scheduling Software would be an asset.

PREFERRED QUALIFICATIONS:

  • 1 – 2 years’ experience in the accounting field
  • 1 – 2 years’ experience with Scheduling Software
