Job Opportunity Receptionist/Admin Assistant
Moncton Headstart has been addressing the barriers that make it difficult for disadvantaged children to succeed in school since 1974. As a registered Canadian charity providing high quality, evidence-based, early child, and family intervention services in English, we work with children from Birth-5 yrs. of age and their families to improve outcomes.
JOB SUMMARY
The successful candidate provides professional reception services while overseeing the day-to- day front of office management position Monday-Friday 8am-4pm.
To be successful in this role, you will need excellent written and verbal communication skills, as well as competency in Microsoft Office applications such as Word and Excel. Prior experience as a receptionist or admin assistant is a must.
RESPONSIBILITIES
- Manage daily interaction with clients & visitors, organize requests as needed.
- Process mail, invoices, payments, and expense reports in accordance with routine office policies and procedures.
- Maintain office supplies, inventory, arranging for servicing of office equipment and /or building services as needed.
- Maintain a record-keeping system for both physical and electronic files.
- Assisting Executive Director with administrative tasks.
- Performing ad-hoc administrative duties.
- Answering, forwarding, and screening phone calls.
- Sorting and distributing mail.
- Provide excellent customer service.
- Scheduling appointments.
SKILLS REQUIRED:
- Prior experience as a receptionist in a social services setting or related field.
- Consistent, empathetic, and kind manner.
- Experience with administrative and clerical procedures.
- Experience managing a busy reception area.
- Ability to prioritize tasks and responsibilities while meeting deadlines.
- Excellent written and verbal communication skills.
- Competency in Microsoft applications including Word, Excel, and Outlook.
- Good time management skills.
- Able to contribute positively as part of a team, helping with various tasks as required.
- Ease of working effectively with the public, clients, and colleagues
- Attention to detail and able to work independently.
- Active listening, open mindedness, flexible, creative, kind
- Fluent written and spoken English; bilingualism an asset.
EDUCATION AND EXPERIENCE
- Recognized secretarial, or administrative background, with client service experience.
- Associate or bachelor’s degree in a related field.
- Three to five years’ experience in an office environment with similar responsibilities in the non-profit, social services and/or charitable sector
- Proficiency in Microsoft Office, Outlook, Word, Excel. Social media savvy.
