JAG Hotel is a boutique hotel, best known for its musical theme, and is located on George Street West, one of North America’s best-known entertainment districts. The musical theme, feel, and mood are felt throughout the new expansion with its décor and pops of art. Connected by a pedway, the hotel has a total of 169 rooms. A new lounge with 140 seats will be added and the existing restaurant will be expanded to 120 seats. It will host a high-end wellness and fitness center, coffee shop, lap pool, and a luxurious specialty floor with a lounge. The hotel has a state-of-the-art two-story multi-purpose venue able to accommodate banquets of up to 600, receptions of up to 1,000, and concerts of up to 1,500. A great enhancement to the arts and entertainment in the downtown St. John’s area.

JAG Hotel is looking for an experienced Conference and Events Manager who is a dynamic leader with the ability to motivate others, to join our team. The manager is responsible for planning, organizing, and overseeing all events and conferences held at the hotel. This role ensures the successful execution of events by coordinating with clients, vendors, and hotel staff, while maintaining high standards of service and maximizing profitability.

Responsibilities:

  • Serve as the primary point of contact for clients, understanding their needs and expectations, and providing personalized service throughout the planning and execution phases.
  • Manages customer relationships through drafting proposals and contracts, responding to customer inquiries, as well as organizing arrangements as they relate to events i.e., set-up and execute all events;
  • Coordinate all logistical aspects of events, including room setups, AV requirements, catering, and accommodations.
  • Communicates with clients to ensure details for events are accurate and complete on a timely basis. Exercises decision-making skills to ensure customer satisfaction and hotel profitability;
  • Develop and implement creative and innovative event designs and execution strategies to maximize hotel revenue and utilization
  • Ensures events progress seamlessly by following established procedures, collaborating with other employees and ensuring accuracy;
  • Updates software with event information and customer communication;
  • Details, organizes, and distributes Banquet Event Orders (BEO’s) and all other pertinent information necessary;
  • Provides direction and information of meeting and/or catering logistics and coordinating room bookings to the Banquet Manager and Manager of Operations
  • Completes administrative duties including organizing files, distribution, collects faxes, etc.;
  • Listens and extends assistance to resolve conflicts such as price conflicts, menu descriptions, banquet facilities, seating charts;
  • Identifies operational challenges with the client and determines how to best work with the employees and client to solve the challenges and/or develop alternative solutions;
  • Communicates all special needs/requests to the responsible employees to ensure completion of requirements;
  • Fully knowledgeable of the meeting/function space;
  • Ensures billing accuracy and conducts bill reviews with the clients prior to processing the final bill

Qualifications:

  • Extensive experience in event planning in a multi-function facility
  • Minimum 5 years’ experience catering/sales and/or event planning experience in hotel environment or several years managing multi-function venues
  • Must have a strong understanding of food and menu creation.
  • Must have strong negotiation and closing skills.
  • Must have sales experience, including negotiation skills and the ability to upsell.
  • Must be customer service oriented.
  • Must have excellent communication and interpersonal skills.
  • Must be self-motivated, detail oriented, strong organizational skills and problem solving skills.
  • Strategic thinker with the capacity to handle complex situations and make informed decisions.
  • Bachelor’s degree or diploma in hotel/hospitality management or event planning, Business Administration, or a related field an asset
