What will you be doing?

 

  • Customer Service skills
  • Strong written and Verbal skills
  • Knowledgeable in Microsoft Office Suite (Excel, Word, Outlook)

Job Responsibilities

  • Answer the main Workplace Health Safety and Wellness phone line
    • Direct calls to team members as appropriate
    • Answer questions from staff/leader.
    • Direct emails as appropriate
    • Answer questions from staff/leaders
  • Assist, organize and coordinate Pre-Employment appointments for new hires 
    • Once new hire email notification received from HR, send new hire email template with attachments
    • Approve COVID19 vaccination documentation and send email approval confirmation to HR
    • Prepare medical documentation and new hire folder for appointment
      • E.g. when new hire sends in documentation over fax or email, organize it so it is ready in a folder for OHN (they may send in at different times)
    • Follow up by email and phone to new hire if they have not submitted all their required documentation before the appointment (reschedule as necessary)
    • Welcome new hire when they arrive for appointment have them sign in
  • Support Sick Leave Policy
    • Help guide staff of next steps and what to do when they are sick
    • Help guide staff through the online employee absence reporting form
    • Forward any medical documentation to OHN (time sensitive and affects employee pay)
      • Check Right Fax throughout the day
      • Check emails throughout the day 
    • Forward daily submitted Employee Absence Reporting Forms to Abilities specialists and OHNs
  • Data Entry in Parklane 
    • All of the medical documentation that new hires send in and that is completed by the OHN in the new hire Pre-Employment assessment, needs to be manually entered into Parklane Recall module
    • Any vaccinations completed by nurse enter into Parklane (E.g. COVID-19 vaccine, Influenza vaccine)
  • Request for Information (ROI)
    • Staff will request their medical files or the union will request medical files 
    • There is a step by step guide in the admin folder for how to prepare one of these files
  • Medical Note Reimbursement Processing
    • Staff will get reimbursed for certain medical documentation that the employer requests 
    • Admin responsibility to forward these requests to the abilities specialist to validate that it fits the criteria for reimbursement
    • If they approve, admin to  prepare the expense report and send to manager of Abilities and Health for final approval
  • Book appointment for COVID-19 vaccines
    • Appointments can be booked Tuesdays and Thursdays
    • Ensure OHN knows about appointment (in order to have time to order vaccine from pharmacy)
    • Order office and medical supplies for department
      • Order supplies from staples
      • Support ordering supplies during annual flu clinic (Every October/November)
      • Order medical supplies from stores as per OHN request
    • Room bookings (as needed)

    Must adhere to clients Vaccination and Backcheck Policy.
