Clinical Disciplines (Full-time, 3-year contractual position)

DUTIES

  • Reporting to the Manager of Operations for Clinical Disciplines, the successful applicant will provide advanced administrative and secretarial support to the Manager of Operations for Clinical Disciplines.
  • Duties include creating and maintaining an electronic filing system as well distribution lists; assisting with HR leave; assisting with financial management as needed; preparing journal vouchers and labor distribution forms as necessary; reviewing a variety of correspondence to ensure compliance with Faculty of Medicine policies and procedures, such as but not limited to travel requests, advances, claims, catering pre-approvals and internal requisitions; minute taking at meetings; and occasional event planning as needed.
  • This position will be required to respond to enquiries in person, email, and by telephone; assist with calendar management including scheduling, room bookings, preparing meeting materials, and performing other duties as required.

QUALIFICATIONS

  • Experience (3-5 years) in administrative or financial work; completion of a two year program in office administration supplemented by university level courses in business administration or related field; or any equivalent combination of experience and training.
  • The ideal candidate will have strong demonstrated interpersonal, verbal, and written communication skills; discretion and attention to detail, as well as organizational and time management skills, including the ability to multi-task and respond effectively with frequent interruptions.
  • A proven ability to work with confidential and sensitive human resources and financial information is required.
  • Proficiency with Microsoft Office Suite, and knowledge of basic accounting principles is required.
  • Experience and knowledge of Banner HR or Finance as well as the University’s policies and procedures, particularly with the Faculty of Medicine are assets.
