The Registered Nurses’ Union Newfoundland & Labrador (RNUNL) is dedicated to advocating for registered nurses and nurse practitioners while striving to improve the healthcare system for all. We are seeking a highly organized and motivated administrative Assistant to join our dynamic team. The ideal candidate must possess strong administrative skills, highly organized and understand the administrative requirements to support a unionized environment.
Key Responsibilities
- Manage incoming telephone calls, ensuring prompt and efficient message relay.
- Place orders for office supplies, maintain inventory levels, and ensure adequate stock.
- Organize travel arrangements, including itinerary planning and reservation coordination.
- Welcome visitors and guide them to appropriate contacts or areas of service.
- Sort and distribute incoming physical and electronic mail, and facilitate internal information flow.
- Type and proofread correspondence, forms, and documents with meticulous attention to detail.
- Provide general information about RNUNL services to clients and the public.
- Handle telephone and email inquiries professionally and courteously.
- Maintain and generate reports from electronic and manual files, inventories, mailing lists, and databases.
- Assist in drafting legal correspondence and perform various office and clerical tasks.
- Prepare photocopies, collate documents for distribution, mailing, and filing purposes.
- Organize document labeling, filing, and retrieval according to retention guidelines.
- Manage confidential and accurate personnel information within databases.
- Process incoming and outgoing mail manually or electronically as required.
- Provide administrative support for internal committees.
Qualifications and Experience
Education: Successful completion of a one-year Office Administration program from an approved/recognized college is required. Experience in office administration and/or records keeping will be considered an asset.
Experience: Minimum of three (3) years’ experience in office administration.
Computer and Technology Knowledge:
- Proficient in database software.
- Advanced knowledge of MS Office Suite (Excel, Word, PowerPoint, Outlook).
- Familiarity with MS Windows operating system.
Specific Competencies:
- Correspondence management.
- Reports and records maintenance.
- Forms management.
