THE POSITION:

Events East Group is now inviting applications for the position of Accounting Administrator with our Finance Team.

Reporting to the Manager Accounting, the Accounting Administrator is responsible for coordinating approvals and classification of accounts payables for Scotiabank Centre events, for processing invoices for ice rentals, for preparing settlements for Scotiabank Centre events, for reconciling selected accounts, and for performing other accounting tasks as assigned. The Accounting Administrator performs general monitoring and support for procurement.

THE DUTIES AND RESPONSIBILITIES:

Operations:

  • Process all event settlements to ensure payment is invoiced and received in a timely fashion.
  • Obtain approvals for all event-related invoices within the prescribed timeframe.
  • Process Souvenir Settlements.
  • Prepare, coordinate, and post wire transfers.
  • Perform various account reconciliations, as assigned.
  • Co-ordinate reports for the Concessions Commission.
  • Prepare and Process transactions for the Concessions Commission.
  • Invoice all ice rentals to the appropriate receiver.
  • Provide support for month-end activities and special projects within the team and company, as assigned
  • Act as a back-up for the Accounts Payable Coordinator.
  • Perform quarterly cash counts.
  • Other duties as required.

Administration:

  • Monitor procurement activities and track contract status’.
  • Provide administrative support during the procurement process to person(s) in need.

Physical Resource Management:

  • Treat Events East Group property, resources, and equipment with respect following any job procedures, policies, or user guides available.
  • Report any damage to Events East Group property, resources, and equipment as soon as damage has been incurred or observed.

Training & Development:

  • Support and participate fully in all training and development initiatives.
  • Support the adoption of new technologies and technical skills as they are introduced to the department.

Health & Safety:

  • Report all safety hazards to the direct supervisor as soon as is reasonably possible. Take action to correct the safety hazard if possible and reasonable.
  • Promote and follow all departmental standards and guidelines, job procedures, and equipment operation protocols to continuously ensure the safety of oneself, team members, and clients.

THE PROFESSIONAL REQUIREMENTS:

Education and Experience:

  • Highschool diploma or equivalent secondary school graduation
  • Diploma in accounting considered an asset
  • 2 years of experience in a similar accounting role
  • Experience using accounting software in daily work
  • Proficient use of the Microsoft suite of products with emphasis on Microsoft Excel.

Physical Demands:

  • This position is performed at a computer station located within office cubicles. As such the following environmental conditions are present:
    • Moderate level of noise and regular foot traffic in the area
    • Overhead florescent lights
    • Low pile carpeted flooring
    • Temperature controlled indoor environment
  • This position performs most of its functions seated at a computer.
  • This is an in-person, in-office position with an allotted number of work-from-home days, as per company guidelines and discretion.
