Projects Coordinator

Work Schedule: M-F 8:00 AM-5:00 PM with other work as required

Work Location: Moncton, New Brunswick

Amount of Travel Required: 5%

We are seeking a highly organized and proactive Strategic Projects Coordinator to support our Chief Technology Officer. The ideal candidate will possess excellent communication skills, a keen eye for detail, and the ability to handle multiple tasks efficiently. This role is pivotal in ensuring the smooth operation of our Technology efforts globally and will require a high degree of professionalism and discretion.

Key Responsibilities:

  • Managing the administrative terms of various agreements.
  • Organizing departmental or company events.
  • Drafting memos, presentations, and reports.
  • Maintaining spreadsheets or databases.
  • Performing data entry.
  • Participating and acting as a representative in meetings.
  • Organizing materials for meetings.
  • Coordinating strategic programs and initiatives.
  • Editing or proofreading reports.
  • Scheduling and managing travel arrangements.
  • Managing schedules and setting up meetings.
  • Managing correspondence (including mail, phone calls, and email) and filtering out unnecessary distractions.
  • Filing expense reports, invoices, and other routine documentation.

Qualifications:

  • Proven experience in a similar senior administrative role.
  • Five or more years of experience in project management, executive support, or a similar role requiring high-intensity organizational skills.
  • Excellent time-management skills.
  • Strong verbal and written communication skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and other relevant software.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong attention to detail and problem-solving skills.
  • Ability to work independently and as part of a team.
  • High level of professionalism and discretion.
