ABOUT THIS CAREER OPPORTUNITY

The Project Administrator will work directly with our project team to assist the Division Manager in the day to day operations of the Nova Scotia Industrial Projects Division. This includes assisting the Division Manager, Project Managers, as well as the Site Supervisors in a wide range of administrative activities, some of which are listed below. This position will report directly to the Division Manager and is located at 60 Cutler Ave., Dartmouth, Nova Scotia.

  • Set up, monitor and invoice small jobs / work order in JDE
  • Issue purchase orders and open work orders both verbally via the phone and in writing
  • Accept phone calls from the field staff, other divisions, and customers
  • Prepare monthly billings in conjunction with Project Manager / Accounting Department
  • New Customer / Supplier set up in JDE
  • Assist the Division Manager with tasks such as copying, filing, monthly projections, forecasting
  • Review timesheets in Procore for completeness for the Division Manager / Payroll Department
  • Assist with the weekly processing of time sheets and productivity reports
  • Attend Division Meetings
  • Other duties as required

EDUCATION REQUIREMENTS

  • Completion of secondary education (administration diploma/certificate or equivalent experience
  • Ability to organize work effectively
  • Motivated and able to work with multiple deadlines in a fast-paced environment
  • Candidates must be capable of using MS Office applications with a focus on Excel.
