Real Estate Administrative Assistant & Client Care Manager

ROLES:

AT LEAST ONE YEAR REAL ESTATE ASSISTANT EXPERIENCE NECESSARY

● Prep documents and fill out contracts for listing agreements, buyer agreements, offers, managing all documents and hand ins, and inputting/updating in One Drive
● Manage all deadlines with buyer and listing deals.
● Maintain calendar with schedules and appointments.
● Use checklists to ensure all steps taken for listings and buyers.
● Organize and book showings, and manage feedback from showings.
● Communicate with clients on a regular basis, client follow ups via email and phone calls. Provide weekly progress reports/status via email to active clients.
● Respond in a timely manner, to client calls, emails and inquiries.
● Create and manage MLS searches for clients
● Prepare CMA’s (solds and active comparables) for initial client evaluation meetings.
● Manage, maintain and update database/referral maker system daily.
● Prepare and send out monthly email mailouts to client bases, as well as direct mail outs.
● Assist in organizing client events, and communication of other marketing to marketing coordinator.
● Assist in booking events, travel, etc.
● Capture leads that come in, as well as continuously help promote the business to generate leads.
● Assist with developing and carrying out marketing plan strategies.
● Send out anniversary and birthday cards.
● Manage One Drive paperless system and keep up to date.
● Prepare weekly notes, to be mailed out.
● Seek improvements to systems – ongoing
● Develop new systems/checklists when required.
● Update/maintain office manuals.
● Input receipts, business transactions/records into One Drive, maintain expenses, QuickBooks (an asset)
● Prepare for daily meetings. Utilize To Do List using Microsoft Planner.
● Doing staging consults to prep home for sale

Job Types: Full-time, Permanent
Pay: $20.00-$25.00 per hour
Expected hours: 30 – 40 per week
Flexible Language Requirement:
French not required

Schedule:
Monday to Friday
Weekends as needed

Supplemental pay types:
Bonus pay

Education:
Secondary School (preferred)

Experience:
Real Estate Assistant: 1 year (required)
